There are two ways to set up RentManager, depending on how your account is configured.
Option 1: If lead cards are not automatically created when new leads arrive, follow Option 1.
Option 2: If lead cards are automatically created from your lead sources and your team has RentManager API access, follow Option 2.
This guide explains how to connect RentManager leads to RentBamboo so your AI can capture and respond to renter inquiries.
Log in to RentManager.
Go to Admin → Users / Setup.
Click Add User and enter:
Name: RentBamboo AI
Email: Your RentBamboo property email
Phone: Optional
Assign a role with leasing/marketing privileges (must include access to prospects / leads / guest cards).
Assign the user to each property you want RentBamboo to automate.
Go to Admin → Automated Notifications.
Find the trigger for New Prospect or Application Submitted.
Add your RentBamboo email as a recipient.
Turn off any automated lead response templates to let RentBamboo handle follow-ups.
Save.
⚠ If the property is using an API feed from an ILS (e.g., Zillow Pay-Per-Lease), RentManager may not send lead emails. Confirm with your RentBamboo account rep to receive the proper set up.
Log in to RentBamboo.
Go to email inbox
Open the invitation email from RentManager.
Click Accept / Activate Account.

What each AI agent does and how it operates
RentBamboo connects to Rent Manager through Rent Manager's API using a dedicated user account that you create. Setup takes about 15 minutes on your side. We verify the connection before anything goes live.
The Rent Manager API is an add-on available on any Rent Manager plan.
Contact your Rent Manager account rep (or LCS support at 513-583-1482).
Request that the Rent Manager API add on be enabled for your account.
Log in to Rent Manager.
Go to Admin → Users.
Click Add User and enter:
Name: RentBamboo AI
Username: rentbamboo-AI
Email: your RentBamboo property email (found in settings)
Set a strong password, you'll share these credentials with RentBamboo in Step 4.
Make sure the user is flagged for API access (your Rent Manager rep can confirm this setting is on).
Assign the RentBamboo user a role with access to:
Prospects / Guest Cards (read + write)
Units and Availability (read)
Properties (read)
Contacts / History Notes (read + write)
Assign the user to every property you want RentBamboo to automate. Properties not assigned to this user will not sync.
Send an email to your RentBamboo rep or [email protected]
Include Company Code, API Username and Password (from Step 2)
Your Company Code is the subdomain of your Rent Manager URL (the yourcompany in yourcompany.rentmanager.com). It's also shown in the top right of your Rent Manager window.

To prevent renters from receiving duplicate responses:
Go to Admin → Automated Notifications in Rent Manager.
Turn off any automated prospect reply or follow-up templates.
RentBamboo will handle all lead follow-up automatically.
